We are seeking an individual with a minimum of two years relevant experience delivering administrative, operational or executive support in a fast-paced environment.

Who you will be working for?
Our Client is a not for profit and well known innovative organisation in the City of London.

What will you be doing?
As PA you will provide high quality, varied administrative support as part of the Fellowship Services Team. The purpose of this role is to support the Director of Fellowship and the wider Fellowship Department. Providing advanced administrative support to the Director of Fellowship, including strategic calendar management, inbox triaging, improving workflows and supporting with draft correspondence to free up the Director’s time to focus more on income
generating projects and driving forward key initiatives to diversify, optimise and scale the fellowship.

Your key duties will also include:
  • Provide administrative and advanced operational support to the Director of Fellowship.
  • Organise and oversee a complex diary of both internal and external meetings, ensuring maximum strategic use of time and impact - Responsibilities will include travel arrangements, logistics, agenda preparation, invites, and attendance lists.
  • Maintain flexibility in the calendar to allow for the prioritisation of tasks, including dedicated time for reviewing ad hoc work, delivering strategic projects, and addressing critical initiatives.
  • Manage inbox efficiently, triaging large volumes, to ensure timely responses and prioritisation of key communications internally and externally.
  • Efficiently manage the coordination of meeting papers and actions for the Director.
  • Prepare draft correspondences, reports, presentations, and departmental email communications, including internal updates, deadline reminders, and follow-ups.
  • Manage the development and delivery of ad hoc strategic projects and initiatives.
  • Assist in onboarding processes for new team members and support offboarding procedures.
  • Liaise with the Finance Team for timely payments, invoice generation, and expense management.
  • Support with minute-taking during meetings and ensure follow-up on actions and decisions.
  • Undertake ad hoc desk research to support the team with new projects and initiatives.
  • Other administrative; developing / maintaining stakeholder campaigns; maintaining SharePoint; maintaining team spaces, responding to stakeholder enquiries; supporting with external communications, ordering stationery and any other necessary purchases; supporting the team with a broad range of ad hoc tasks.
  • Any other reasonable related and required duties.
About you:
You will need to have relevant experience within a similar position.

You will also need:
  • Educated to A-level or equivalent.
  • Familiarity with project management principles and using tools like
    Asana.
  • Computer savvy - with excellent knowledge of MS Office or Google Suite applications.
  • Exceptional organisational and time management skills, ability to balance competing priorities and effective time management.
  • Experience communicating with internal and external stakeholders.
  • Proven experience delivering administrative, operational or
    executive support in a fast-paced environment for a minimum of two
    years.
  • Excellent interpersonal skills able to quickly build rapport with people and from a diverse range of professions, backgrounds and enthusiasms.
  • Experience of using a CRM, ideally Salesforce or similar - highly desired.
  • Experience of working in a membership organisation or the charitable sector - desirable but not essential.
  • Excellent communication skills, both written and verbal.
